HD SofT Oy (“we,” “us,” or “our”) is committed to protecting your personal data. We handle personal data confidentially and in accordance with the EU General Data Protection Regulation (GDPR). This Privacy Policy explains what types of personal data we collect, how we use it, and what rights you have regarding your personal data.
1. What Personal Data Do We Collect?
1.1 Data Provided by the User
We collect the following types of personal data that you provide to us:
- Name, email address, physical address, phone number
- Consent for direct marketing via email, SMS, or other automated systems (e.g., newsletter subscriptions)
- Customer feedback, other communications, and customer relationship-related details, such as billing information
- Information provided in surveys and research
- Other data collected with your consent
1.2 Data Collected from Website Usage
We also collect data based on how you use our services:
- Browsing data on our website
- Usage data, such as your entry point to the service, browser and device information, cookie identifiers, time spent on the service, and geographical location
- Ads displayed to you and information about ad clicks
2. Purpose of Collecting Personal Data
We process personal data only for predetermined purposes:
- We collect users’ email addresses with their consent to send them news and information about our services and products.
- We collect data on website usage to improve and develop our services.
- We collect information about website visitors to target advertisements for products, services, and offers that may interest them, using various communication channels.
- We collect data to enhance our customer service.
- We collect data with users’ consent to offer or forward services from HD SofT Oy.
3. Third Parties
We use services from a few third parties. These parties are carefully selected to ensure compliance with EU data protection laws. The two services below are the only ones that place cookies on your device, and neither of them loads until you have given your consent.
3.1 Hosting
HD SofT Oy hosts the website on its own server infrastructure (Docker container on a private VPS) running WordPress with security and privacy controls. Personal data submitted via forms is stored in databases under HD SofT Oy’s control.
3.2 Google Analytics
We use Google Analytics (Google Ireland Limited) to measure how our web services are used: which pages are read, where visitors arrive from, and how long they stay. The results are statistical and are not used to identify individual people.
Google Analytics is loaded only after you accept the Analytics category in our cookie banner. Until then no Google Analytics script is loaded and no Google Analytics cookie is set. We also apply Google Consent Mode, which instructs Google not to use cookies or advertising identifiers while consent is absent.
3.3 Lead Feeder
We use Lead Feeder (Dealfront Group GmbH) to recognise which companies visit our website, based on the IP address the visit comes from. This helps us follow up with businesses that have shown interest in our services. It identifies organisations, not individual visitors.
Lead Feeder is loaded only after you accept the Marketing and leads category in our cookie banner. If you decline, no Lead Feeder script is loaded and no Lead Feeder cookie is set.
3.4 Social Media and Embedded Content
This website does not use social media plugins such as Facebook, X, or LinkedIn “Like” or “Share” buttons, and it does not embed third-party content that would set cookies. If such features are added later, they will be placed behind the same consent mechanism and listed in this Privacy Policy.
4. Cookies and Consent
We ask for your consent before any non-essential cookie is set. On your first visit a consent banner appears, and until you make a choice the site loads no analytics or marketing scripts at all. Accepting and declining are offered as equally prominent choices.
Your choice is remembered on later visits. It is stored in your browser’s local storage rather than in a cookie, which means we do not need a cookie in order to respect your decision.

Strictly necessary storage — your cookie choice is kept in your browser’s local storage, not in a cookie. It contains only your selections, is never sent to us, and cannot be switched off, since without it we would have to ask you again on every page.
4.2 Changing or Withdrawing Your Consent
You can change your choice at any time from the cookie icon in the corner of every page. Withdrawing consent stops the corresponding scripts from loading and removes the cookies listed above from your browser.
Declining does not limit your use of the site: every page and feature works the same either way.
5. Data Retention
We retain collected data only as long as necessary for the purposes described above, in compliance with applicable laws. Cookie lifetimes are listed in section 4.1.
6. Data Security
We employ necessary technical security measures to protect personal data. These include the use of firewalls, encryption technologies, secure facilities, access control, managed granting of access rights, and employee training in data protection practices. We also ensure that our subcontractors comply with EU data protection laws.
7. Links to Other Websites
We are not responsible for the privacy practices or content of external websites linked from our site, nor their legality or governance. If you notice illegal or offensive content on linked sites, we appreciate your feedback.
8. Your Rights
We are committed to providing you with choices and control over your personal data.
8.1 Right to Object to Direct Marketing
You have the right to prohibit the use of your data for direct marketing, distance selling, and other direct marketing purposes by contacting us via email at info@hdsoft.fi.
8.2 Right to Access and Correct Data
You have the right to review the personal data we have stored about you. Upon request, we will remove or update any incorrect or outdated personal data. You can update and/or review your personal data by contacting us.
8.3 Right to Control Cookies
Non-essential cookies are set only with your consent, and you can withdraw that consent at any time from the cookie icon in the corner of every page (see section 4.2). You can additionally clear or block cookies through your browser settings; blocking strictly necessary storage may affect how the site remembers your choices.
